Dermatology Billing Made Simple

Transparent and convenient financial policies for every patient.

At Rose Dermatology, we aim to make dermatology billing and insurance processing simple, transparent, and convenient for our patients. As part of our financial policy, we securely maintain a card on file to streamline payments and reduce delays.
This allows us to:
Process balances after insurance claims are finalized
Minimize billing statements and follow-up calls
Provide a faster, more efficient checkout experience
All payment information is encrypted and securely stored in compliance with industry standards.

How Insurance Billing Works

Understanding the process helps avoid confusion.

Understanding how dermatology insurance billing works can help avoid confusion:
This allows us to:
We bill your insurance provider first as a courtesy.
Your insurance determines your responsibility — copay, deductible, or coinsurance.
You receive an electronic statement (e-statement) notification.
Any remaining balance may be processed using your card on file.
Quick Processing
In many cases, balances are processed shortly after insurance finalizes to reduce delays and avoid outstanding balances.

Card on File Policy

Efficient billing for medical dermatology and cosmetic services.

Our card on file policy helps ensure efficient billing for both medical dermatology and cosmetic services. Your card on file may be used for:
Copayments at the time of service
Deductibles and coinsurance after insurance processing
No-show fees
Late cancellation/reschedule fees
This is a standard practice in many dermatology and medical offices and helps reduce administrative delays.

Will I Be Notified Before Charges?

Yes — We Notify You First
As part of our commitment to transparency, patients may receive a notification prior to any charges being processed.
If you have questions about your dermatology bill or insurance coverage, please call your insurance provider, as they determine your balance based on your policy.

Can I Opt Out of Automatic Payments?

A card on file is still required — but autopay can be declined.

A valid debit, credit, or HSA card on file is required to schedule and maintain appointments at Rose Dermatology. This card is required to secure appointments and cover applicable appointment-related fees, including no-shows and late cancellations or reschedules, which are not covered by insurance.
If you prefer not to have your card on file used for automatic balance payments after insurance processing, you may opt out of autopay.
A $175 deposit will be required at the time of service if you opt out of autopay.
This deposit will be applied toward your visit once your insurance claim is processed. If your insurance covers the visit in full and your balance is zero, any remaining portion of the deposit will be refunded to your original form of payment.
Refund Timeline
Refunds are processed on a monthly basis and will be issued within 7 to 14 business days after the insurance claim has been finalized.
Any remaining patient responsibility after insurance processing — including deductibles, co-insurance, copays, or non-covered services — remains the patient's responsibility under our financial policy.

Missed Appointments & Cancellations

At least 24 hours' notice is required.

As part of our dermatology office policies, we require at least 24 hours' notice for cancellations or rescheduling. Your card on file may be used for:
No-show appointments
Late cancellations or reschedules
These fees are not covered by insurance and help us manage scheduling availability for all patients.

VA Dermatology Patients

Special considerations for Veterans Affairs patients.

For patients receiving care through the VA (Veterans Affairs):
VA-authorised visits are typically covered
However, the VA does not cover missed appointment fees
A card on file is required to secure appointments
If you have questions about VA dermatology coverage, please contact our office.

Outstanding Balances & Collections

Fair and consistent billing practices.

To maintain fair and consistent billing practices:
Appointment restrictions — Unpaid balances may result in appointment restrictions or scheduling holds.
Collections referral — Accounts may be referred to a collections agency between 90–120 days from the date of service if unresolved.
